This role is responsible for overseeing and managing supplier payments, ensuring timely and accurate scheduling based on various payment terms, including advance payments. The position involves monitoring invoices and shipping documents, filing timely claims with foreign suppliers, and securing credits accordingly. It requires analytical judgment in recommending optimal payment methods—trade (using documents) or non-trade (T/T)—and assessing opportunities for discounts, especially on advance payments.

The role also includes performing AX-related tasks with accuracy, preparing weekly remittance schedules, and collaborating with marketing, finance, and logistics to maintain accurate supplier accounting. A key part of the responsibility is to analyze monthly supplier summaries per brand and raise relevant concerns with the Finance team. Additionally, the role contributes to productivity improvements by developing automated tools for reporting and forecasting.


Key Responsibilities:
  • Monitor upcoming invoices/shipping documents and record in the payables sheet for payment scheduling --- whether the payment term of the brand/supplier is with terms or advance payment (ex: a week before ship out, advance payment before production, etc.)

  • File claims with foreign suppliers on time and ensure we get the credit on what our foreign suppliers on our claim as soon as possible.

  • Analyze and give recommendations on how he/she will pay a certain supplier/principal especially on brands with advance payments discounts.

  • Analyze and give recommendations on how we can pay a certain supplier either via trade (buying dollars using documents) or non-trade (T/T mode of payment) whether advance payment or with terms.

  • Perform the AX related tasks as scheduled with very minimal to no error.

  • Prepare remittance schedules on time every week for invoices/documents due for payment.

  • Work closely with the marketing, finance and logistics team to ensure accurate supplier accounting reports.

  • Analyze supplier accounting summary per brand to be able to report it on a monthly basis with the Finance team, including all concerns that need to be monitored.

  • Increase productivity by developing automated reporting/forecasting tools.


Job Qualifications:

  • Bachelor’s Degree in Business, Finance, Accounting or other relevant fields
  • Knowledgeable in Banking, Finance or Accounting
  • Proficient in using MS Excel/Google Apps
  • Recent work experience in the Philippines and familiar with Philippines finance practices (not required)
  • With background in handling property insurance and bonds (optional but helpful)
